How to run a potluck sign-up
A potluck works when the food is balanced, and that only happens when people can see what others are bringing. This sheet splits the meal into courses with a number of spots on each, so once four people have signed up for mains, the next person sees "Full" and picks a side or dessert instead. Guests type only a first name and, if they like, what they are bringing ("lasagna", "gluten-free brownies"), so the person organizing the table knows what to expect without collecting anyone's email.
- Edit the title and add the date of the potluck. The date also sets when the sheet deletes itself: 30 days later.
- Adjust the courses and the number of spots. A good rule is one main for every 6 to 8 guests, plus a side and a dessert for every 8.
- Press "Create sign-up sheet". You get a share link for guests and a private organizer link for you.
- Paste the share link into your group chat or email. Guests tap a course, type their name and what they're bringing, done.
Tips
- Add a "Plates, cups and napkins" slot. It is the slot people forget, and the one guests who don't cook are glad to take.
- Use the note for allergy rules and drop-off times, for example "please label anything with nuts".
- Close the sheet the day before so nobody signs up for a dish they can't make in time.
- Print the sheet and tape it near the serving table so people can find their own dish.
