How to run a class party sign-up

Room parents organize three or four class parties a year, and each one needs the same mix: a couple of healthy trays, a treat, drinks, paper goods, a craft and a few parents in the room. This template lists them with sensible counts for a class of 20 to 25. Families pick what they can bring, add a note if it helps ("2 dozen cupcakes"), and the room parent sees at a glance what is still missing. Families never type an email or phone number, so nothing about the class ends up in a marketing list.

  1. Rename the party and put the date, time and school food rules in the note.
  2. Check with the teacher how many helpers can be in the room and set the helper spots to match.
  3. Create the sheet and share the link through the class app or newsletter.
  4. Print the filled-in sheet for the teacher, then reuse the template for the next party.

Tips

  • Most schools ask for store-bought food at parties: say so in the note.
  • Keep in-class helpers to three or four so the room doesn't get crowded.
  • A craft supplies slot is a good fit for families who can't come in.
  • Close the sheet a few days ahead so you have time to fill any gaps yourself.
